YourChaser ("YourChaser", "we", "us") provides software that helps bookkeeping firms collect, track, and reconcile the documents their clients owe. This policy applies to our website, application, and related services (the "Service").

Information you provide
- Account details — your name, work email, firm name, and password when you register or are invited.
- Client records — contact details and identifiers for the clients your firm manages within the Service.
- Financial documents — receipts, invoices, statements, and other files uploaded by you or your clients to support transactions.
- Communications — messages you send us for support or enquiries.
Information we collect automatically
- Usage data — actions taken in the Service, feature usage, and device/browser information.
- Log data — IP address, timestamps, and audit records of significant actions for security and accountability.

Information from third parties
When you connect an accounting or document integration (for example, Xero or Dext), we receive data from those services to enable reconciliation, strictly within the scope you authorise.
3. How we use information
- To provide, operate, and maintain the Service.
- To send automated document reminders on your behalf to your clients.
- To reconcile transactions with connected accounting platforms.
- To secure accounts, prevent fraud, and maintain audit trails.
- To provide support and respond to enquiries.

4. Disclosure of information
We do not sell your personal information. We disclose it only:
- To service providers who host and operate our infrastructure (such as cloud hosting and database providers), bound by confidentiality and data-protection obligations.
- To integrations you connect, to the extent needed to deliver the functionality you request.
- Where required by law, or to protect the rights, safety, and property of YourChaser, our users, or others.
- In a business transfer, such as a merger or acquisition, subject to this policy.
5. Data retention
We retain personal information and documents for as long as your firm maintains an account and as needed to provide the Service, then for any period required to meet legal, accounting, or audit obligations. You can request deletion as described below.
6. Security
We protect your data with encryption in transit and at rest, strict access controls, and tenant data isolation. Learn more on our Security page. No method of transmission or storage is completely secure, but we work continuously to protect your information.
7. Overseas storage and transfers
Our service providers may store or process data in locations outside Australia. Where this occurs, we take reasonable steps to ensure recipients handle your information consistently with the APPs.
8. Your rights and choices
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion, subject to our legal retention obligations.

9. Cookies
We use essential cookies and local storage to keep you signed in and to remember preferences such as your light/dark theme. We may use limited analytics to understand and improve usage. You can control cookies through your browser settings; disabling essential cookies may affect functionality.
10. Children
The Service is intended for businesses and is not directed to individuals under 18. We do not knowingly collect information from children.
11. Changes to this policy
We may update this policy from time to time. We will post the revised version here and update the "Last updated" date. Material changes will be communicated where appropriate.
